PTO Board Positions
2024-2025 School Year PTO Board Needs
Position Title: PTO Vice-President
Overview: The PTO Vice-President plays a crucial role in supporting the President and ensuring the smooth operation of the Parent-Teacher Organization. This position is a PTO board member and requires voting into position. Position involves leadership, collaboration, and active participation in planning and executing PTO activities and initiatives.
Key Responsibilities:
Position Title: PTO Co-Treasurer
Overview: The PTO Co-Treasurer shares the responsibility of managing the financial affairs of the Parent-Teacher Organization. This role involves collaboration, attention to detail, and a commitment to maintaining accurate financial records and transparency.

Position Title: Monster Mash Committee Chair
Overview: The Monster Mash Committee Chair is responsible for leading the planning and execution of the annual Monster Mash event, held in late October. This role involves creativity, organization, and collaboration to ensure a fun and memorable experience for students, parents, and staff.

Key Responsibilities:
- Support the President: Assist the President in overseeing PTO meetings, events, and activities. Step in to lead meetings or events in the President’s absence.
- Event Coordination: Collaborate with committee chairs and volunteers to plan, organize, and execute PTO events, fundraisers, and programs.
- Communication: Serve as a liaison between parents, teachers, and the PTO board. Ensure clear and effective communication of PTO initiatives and activities.
- Volunteer Management: Recruit, coordinate, and manage volunteers for various PTO events and activities. Foster a positive and inclusive environment for volunteer participation.
- Budget Oversight: Assist in managing the PTO budget, ensuring funds are allocated appropriately and spent responsibly. Work with the Treasurer to maintain accurate financial records.
- Strategic Planning: Contribute to the development and implementation of the PTO’s strategic goals and objectives. Help identify opportunities for growth and improvement.
- Community Engagement: Build and maintain strong relationships with parents, teachers, and the school administration. Promote PTO activities and encourage community involvement.
- Strong organizational and leadership skills.
- Excellent communication and interpersonal abilities.
- Ability to work collaboratively with diverse groups of people.
- Experience in event planning and volunteer management is a plus.
- Commitment to the mission and goals of the PTO.

- Budget Preparation: Collaborate with the Treasurer and other board members to develop and manage the annual budget. Monitor expenditures and ensure they align with the approved budget.
- Record Keeping: Maintain accurate and up-to-date financial records, including receipts, invoices, and bank statements. Ensure all records are organized and accessible for review.
- Reporting: Prepare and present regular financial reports to the PTO board and general membership. Provide clear and concise updates on the financial status of the organization.
- Fundraising Support: Assist in the planning and execution of fundraising activities. Track income and expenses related to fundraising events and ensure proper documentation.
- Compliance: Ensure compliance with all relevant financial regulations and reporting requirements. Work with the Treasurer to prepare and submit any necessary tax filings or financial reports.
- Collaboration: Work closely with the Treasurer, President, and other board members to support the overall financial health of the PTO. Provide input and recommendations on financial matters.
- Strong organizational and financial management skills.
- Attention to detail and accuracy in record-keeping.
- Ability to work collaboratively with others.
- Experience in bookkeeping, accounting, or financial management is a plus.
- Commitment to the mission and goals of the PTO.

- Budget Management: Work with the PTO Treasurer to develop and manage the event budget. Ensure all expenses are tracked and stay within the allocated budget.
- Vendor Coordination: Identify and coordinate with vendors for supplies, entertainment, and other event needs. Ensure all vendor agreements are in place and services are delivered as expected.
- Promotion: Develop and implement a promotional plan to generate excitement and encourage attendance. Utilize various communication channels, such as newsletters, social media, and school announcements.
- Logistics: Oversee the setup and teardown of the event. Ensure all logistical details, such as venue arrangements, safety measures, and equipment needs, are addressed.
- Feedback and Improvement: Gather feedback from attendees and volunteers to evaluate the success of the event. Identify areas for improvement and make recommendations for future events.
- Strong organizational and leadership skills.
