PTO Minutes: September 12th, 2023
Welcome, Introductions, Meeting Details
President, Ben Opperman welcomed everyone to the September 12th, 2023 PTO Meeting.
Ben Opperman called the September 2023 OSE PTO meeting to order at 7:05 PM.

Meeting Minutes Approval:

Principal’s Report:
  • School Supply Kits are in!
 
  • Thank you for the soccer goals…the are a big hit.
 
  • Learn the Facts at a Community Conversation
    • Members of the Dublin City Schools district leadership team are hitting the road and joining the principal of every school for a co-hosted Community Conversation. These Community Conversation events will be levy-focused, providing an opportunity to learn facts and ask questions about the upcoming levy and bond issue. Our school’s Community Conversation event will be Wednesday, September 20th @ 6:30 p.m. We welcome everyone to come and be a part of this informative session. Together, let's make our community stronger through open dialogue and shared knowledge. See you there!

Treasurer Report: September 2023
Taxes and District Organization Renewal
We have filed Form 990-N (e-Postcard) for the 2022-2023 tax year. I have submitted all necessary paperwork central office. 
 
Expense Changes:
  • Expense Changes: Office Supplies - Bought paper for printing 10 reams $62.40
Revenue Changes:
  • School Supply Sale - Deposits totaling $320.00 for Words I Use, Planners, and Kg journal sales.
  • Membership Drive -  Deposits totaling $1400.00
  • Spirit Wear - Deposits totaling $2804.00 We have not received the invoice from the shop for the purchased items so that will go down.
  • Kroger Rewards - Deposit totaling $425.85
  • Mums Sale - Deposits totaling $247.00 from a few cash orders.
Grant Approval/Payments
Grant Request:
2 Soccer Goals with Nets - We approved $460.00 but the estimate did not include taxes so we as an executive board voted to add $40 to the grant to make it $500.  Total purchase cost was $494.48.

Updates:
  • Blue Jackets –
    • Will update the link for Blue Jackets tickets
    • Currently Pre-season games are available for purchase ($10 per ticket comes back to PTO)
    • Once Pre-season is over it will switch to regular season games
  • Celebration of Clovers Auction –
    • Worked with Scottish corners to understand how they conducted the auction
    • Event is planned for spring (TBD)
  • 5th Grade party Planning –
    • Starting planning with meeting Wednesday 13th
  • Spring Flowers –
    • NA, working on fall flowers
  • Spirit Wear –
    • Completed
    • Invoice received
    • Tye dyed shirt most bought
    • Need to coordinate the mum sale and sprit sale there was lots of communication at once
  • Restaurant Night –
    • 9/13 Noodles September 13 4-8 pm
    • 10/4 Chipotle in Powell Restaurant Night
  • Monster Mash
    • Underestimated the baked good sale and pricing the sale is main area needing help
    • Sign up genius for the support of the events
    • Investigating finding a DJ
  • Fall Mums
    • Profit so far is $4913 for the mums (without buying the prizes)
    • 9/21 is the pickup date for mums
    • 117 students participated
  • School Store –
    • Waiting till after mum sale is completed to open
  • School Supply Kits–
    • Investigating supplier options for next year
    • Discussed needs of the kit, will consider mid-year
  • Bricks –
    • Installed the bricks out front of the building
 
  • Tailgate –
    • Date is TBD
  • Room Parents–
    • Have a room parent for every class
  • Cub Scouts –
    • OSE PTO charters cub scout packs
    • Had family join night on August 24th, couple new people have joined
    • Kicked off popcorn sale
    • Rocket launch, fall camp out and other events starting
    • About 25 scouts in the Pack
  • Teacher Appreciation –

Approval of 2023-2024 Budget 
 
Revenue Changes
We looked at several of our line items from last year that didn't make their total projected numbers and adjusted accordingly: Flower Sales, Restaurant Night, Celebration of Clovers, Kroger's Rewards, Membership Drive.
We have lost the following items as revenue: Holiday Shop, Amazon Smiles, We will be leaving Amazon Smiles listed as there may be one more deposit that we have not received yet.
Added to Revenue: Family Game Night, Columbus Blue Jacket Ticket Sales, and split School Store & School Supply into 2-line items.
 
Since we went from $24,250 in projected revenue from last year's budget to $18,850 we had to make the following adjustments for the Expenses.
 
Expense Changes
- Removed Enrichment program of $3000.00 and Bloomz Platform, Family Game Night (was moved to revenue)
- Lowered the following line items: Recognition, Principals Funds, Office Supplies, Shared Concessions
- Green Folders - cost has went up so we raised it to $600.00

Expense Changes:
- Office Supplies - purchased 2 new cash boxes that have combo locks since the ones being used in past years were broken or missing keys.
- Shared Concessions - budget meeting meal cost.
- Back to School Social - replenished supplies
- Staff Appreciation - Welcome back meal for teachers and staff
- Green Folders - have been purchased and passed out

- Restaurant Night - Check for $32.39 from Swenson's
- School Store - bought some deals to restock supplies
- School Supply Sale - paid for Kg journals $415.46 order and had a deposit of $375.00 for Words I Use, Planners, and Kg journal sales.

Grant Approval/Payments
  • Grant Request:
Nick Bertrams (Assistant Principal) - 2 Soccer Goals with Nets - for kids to use at recess instead of orange cones as goals, asking $460. Will be taken in and stored in the building at night to prevent theft or damage. May need net replacement as ongoing cost for future years.

Restaurant Night – Amy Thompson
  • scheduled 9/13 with Noodles & Co in Powell!
 
Blue Jackets Nights-Kecia Cropper
  • We will have the preseason fundraiser like last year and also offer for regular games. These are offered at a discount price than Ticketmaster and we will receive $10 back for every ticket. Sold for both preseason and regular season games!
